Cancellation Policy

This policy explains how cancellations, date changes, severe weather and transport disruptions are handled so that you can plan your Oki photo wedding with confidence.

Application and booking confirmation

This policy applies to Oki Photo Wedding photography services provided by SPOT LIGHTS.

There is no cancellation fee during the inquiry or initial consultation stage. Your booking is confirmed when you accept the final quotation and shoot details and we send you written confirmation.

If an individual quotation, application form or contract contains terms that differ from this policy, the individually agreed terms take precedence.

Cancellation by the customer

If you cancel a confirmed booking for personal reasons, the following fee applies to the confirmed contract total, based on the date we receive your cancellation notice.

  • All deadlines are calculated in Japan Standard Time from the confirmed first day of photography.
  • Non-refundable third-party costs arranged with your prior approval, such as outfits, venue fees, permits, travel or accommodation, may be charged separately.
  • If payments already made exceed the cancellation fee, we will refund the balance after deducting bank transfer charges. If they are insufficient, we will invoice the difference.

Rescheduling at your request

If you contact us at least 31 days before the shoot, you may reschedule once without a change fee. In principle, the new date must be within six months of the original date and is subject to crew availability.

For changes requested 30 days or less before the shoot, part of the cancellation fee above or costs already incurred may apply depending on preparation already completed. Changes in season, day of week or shoot details may also result in a revised quotation.

Severe weather and transport disruption

If we determine that rain, high winds, rough seas or other conditions make the shoot unsafe, we will discuss a change of time or location, or postponement. There is no change fee when we decide to postpone for safety reasons.

If the principal scheduled flight or ferry service to Oki is cancelled and you cannot reach the islands, you may reschedule once without a change fee.

If postponement cannot be arranged and the shoot is cancelled, the standard cancellation fee will not apply. You may still be responsible for non-refundable third-party costs already incurred, such as outfit or venue charges.

We generally discuss weather decisions two to three days before the shoot, taking forecast accuracy and safety into account. Sudden changes may require a decision on the day.

Cancellation by us

If we cannot carry out the shoot due to crew illness, equipment failure or another circumstance on our side, we will propose a replacement professional or a new date. If neither is possible and the shoot is cancelled, we will refund all photography fees you have paid.

We will review any separately arranged travel or accommodation costs with you according to the circumstances.

How to cancel or request a change

Please send your name, confirmed shoot date and requested change by email or through the LINE conversation used for planning. The procedure is complete when we send you an acknowledgement.
